5 Main things to consider when planning an event !

Updated: Dec 19, 2024

  1. Date

This is the first thing to settle even if it means having 2 or 3 provisional dates as most of the inquiries you will be making will be based off a date. Unless you are not attached to a date, this can be the 4th thing on the list as a date can also determine the venue price.

  2. Guest list

Creating your guest list at this point will give you an idea of the event's size, allowing you to choose the appropriate venue and obtain accurate price quotes for catering, venue styling, and more.

  3. Theme/ colour scheme

Understanding your desired theme will help in selecting a venue, as choosing one that doesn't match your theme could lead to additional decoration expenses to make it fit your vision, resulting in higher costs.

  4. Research

Once you have decided on the above 3, you will now need to do your research. Price research, vendor research etc. This is to educate yourself so you don't have unrealistic expectations when setting up your budget. Research can easily be number one as it can also save you numerous adjustments and help you to set realistic expactations.

  5. Budget

Many may wonder why this isn't at the top of the list. It's simpler to create a budget based on assumptions, but it's a different matter if the budget is uninformed. This is because not knowing the actual costs of certain things can be mentally exhausting when you have already set a budget as you continuously have to cut costs and make compromises to fit your budget. Often, you might exceed your budget, leading to stress or even strain on relationships. To prevent this, it's best to set a budget after you have established the 4 above first.

So here it is ! 5 main things to consider when planning an event!

I will be writting more tips in my blogs going forward, it is worth noting I am not an expert and the information is based on my personal experience, deductions and research!
